1. Add your business details. Start with your business name exactly as clients know it — this appears at the top of the invoice and on their bank statement notes. Add your address if you invoice companies; their accounts-payable teams often require it.

2. Bill the right person. Enter your client's name and, ideally, the email of whoever actually pays the bill. Invoices sent to the wrong inbox are one of the most common reasons freelancers get paid late.

3. Itemize your work. One line per service, specific enough that the client recognizes what they're paying for: "Homepage redesign — 12 hours @ $200/hr" gets paid faster than "Design work." The generator calculates line totals, tax, and the grand total automatically.

A professional invoice answers every question the payer might have before they ask it: who is billing them, for what, how much, by when, and how to pay. That means a unique invoice number (use our invoice number generator to pick a scheme), an issue date and a due date, itemized services with quantities and rates, any tax broken out separately, and clear payment instructions.
